What flattening does

A PDF can carry interactive layers on top of its pages: form fields you type into, and annotations such as highlights, notes, drawings and signatures added as annotations. Those layers stay editable. Anyone who opens the file in a PDF reader can change a value in a field, move a note or delete a highlight.

Flattening turns those layers into a fixed part of the page. The document looks exactly as it did, but the fields are no longer fields and the annotations are no longer separate objects. They can’t be edited or deleted with a PDF reader anymore.

When to flatten a PDF

The classic case is a completed form. You fill in an application, a tax form or a registration sheet, and before you send it you want the answers to stay put. Flattening makes sure the recipient sees exactly what you typed, and that a field doesn’t get cleared by accident when someone opens the file in a different program.

It is just as useful after a review. If you highlighted clauses and wrote notes with Annotate PDF, flattening locks those marks into the document so they arrive intact. Signatures that were placed as annotations become part of the page too. Some offices and online portals also prefer flat files because interactive fields can display differently from one reader to another.

What flattening does not do

Flattening is not a security feature. It doesn’t add a password, and it doesn’t remove hidden information. The text from your fields is still in the file, and so is everything else that was already there. If you need to stop others from opening or changing the document, use Protect PDF. If you need to remove sensitive information for real, use Redact PDF, which deletes the covered content instead of hiding it.

Also keep a copy of the original if you might need to edit the form again later, since the flattened version can’t be filled in anymore.
